The team you'll be working with:

The Skilled Facilities Administrator is responsible for managing more complex general maintenance and repairs within the organization.

This role ensures that all maintenance and repairs requests received within the organization are carried out in line with the service level agreement.

This role may act as an informal team leader as required by the Facilities Manager / Leader.

What you'll be doing:

  • Checks that all maintenance and repairs requests received within the office environment and related buildings are carried out in line with the service level agreement.
  • Provides support with the distribution of and response to all service requests related to the facilities.
  • Checks that daily building inspections and ensures that all work undertaken conforms to the Health and Safety Act.
  • Documents and reports on in progress, new and/or completed maintenance, and repair requests to management.
  • Coordinates routine maintenance and repairs schedule.
  • Provides support with ensuring that the tasks are completed according to the schedule and update and maintain the maintenance database.
  • Ensures that buildings, offices and equipment are maintained to the required standards and that service levels are met.
  • Provides support to ensure that all office facilities, tools, equipment, and stock (office consumable) levels are maintained and securely stored.
  • Liaises with all internal and external stakeholders including building services management, security, and access control and cleaning staff.
  • Escalates non-performance of internal and external stakeholders to the management.
  • Checks all contractor documentation and maintain records such as permits, leases and correspondence on behalf of the business.
  • Performs any other relevant tasks as required by management.

  • Proactive and motivated and can work independently.
  • Good knowledge of general hygiene practices.
  • Good knowledge of facility layout.
  • Good verbal and written communication skills.
  • Detail orientated with good organizational skills.
  • Excellent knowledge of safety practices.
  • Good at time management.
  • Ability to work well under pressure.
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
  • Ability to coordinate the work of others.
