The team you'll be working with:

We are seeking a highly skilled and detail-oriented PMO Planning & Scheduling Specialist to join our team. This role is critical in supporting project and programme delivery across all functions by providing expert planning, scheduling, and reporting capabilities. The ideal candidate will have a strong background in IT project delivery, hands-on experience with project planning tools, and a proactive approach to governance and milestone tracking.

What you'll be doing:

  • Collaborate with Project Managers and cross-functional teams to develop, maintain, and monitor detailed project schedules.
  • Provide planning support across projects, ensuring alignment with governance frameworks and resource availability.
  • Develop and maintain departmental-level plans, ensuring consistency and visibility across the portfolio.
  • Track key milestones, dependencies, and deliverables, and proactively identify risks or delays, aiding project managers with re-baselining of project plans following delays.
  • Generate regular reports and dashboards to support decision-making and stakeholder communication.
  • Act as a subject matter expert in project planning tools, advising on best practices and standardisation of planning approaches.
  • Support the transition to the new PPM tool (ServiceNow), including configuration, training, and adoption.
  • Ensure planning data integrity and alignment with PMO governance standards.

What experience you'll bring:

  • Proven experience in a PMO, programme management or project planning/scheduling role within IT or technology-driven environments.
  • Strong proficiency in project planning tools such as Microsoft Project, MS Planner, and ServiceNow (ServiceNow PPM experience will be key for the near future).
  • Demonstrated ability to work across multiple functions and manage complex project schedules.
  • Solid understanding of project lifecycle methodologies and milestone planning.
  • Excellent analytical, organisational, and communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience in producing high-quality reports and tracking tools for senior stakeholders.

Desirable Skills

  • Experience with ServiceNow PPM module implementation or usage.
  • Familiarity with Agile and Waterfall project methodologies.
  • Knowledge of resource planning and capacity management.
