The team you'll be working with:

We are seeking a reliable, professional, and friendly Receptionist to join our team. The ideal candidate will be the first point of contact for visitors, clients and employees of NTT DATA, providing a positive first impression and ensuring smooth operations within the office. As a receptionist, you will play a key role in supporting administrative functions, managing front desk activities, and assisting with general office management tasks within the Real Estate & Workplace management team.

What you'll be doing:

1. Front Desk Management:

  • Greet and welcome visitors, clients, and employees in a courteous and professional manner.
  • Direct visitors to the appropriate staff members or meeting rooms.
  • Answer and direct phone calls to relevant departments or individuals, taking messages as needed.
  • Maintain a tidy and organized reception area, ensuring it is always presentable.
  • Handle incoming and outgoing mail, packages, and deliveries.

2. Administrative Support:

  • Assist with administrative duties such as filing, data entry, and maintaining office supplies.
  • Schedule meetings, conference calls, and supporting executive assistance as and when required with office-based tasks (e.g. Binding, Printing)
  • Maintain the office calendar and coordinate logistics for events or meetings.
  • Booking courier request and monitoring of DHL inbox.

3. Communication & Coordination:

  • Serve as the primary point of contact for internal and external communication.
  • Monitor and respond to emails, ensuring timely follow-up on inquiries.
  • Assist with managing and tracking office supplies, ensuring stock levels are sufficient.
  • Collaborate with various departments to ensure the smooth flow of information and requests.

4. Office Maintenance:

  • Monitor the cleanliness and organization of office common areas.
  • Report any maintenance or safety issues to the General Services Lead

5. Customer Service:

  • Provide exceptional service to clients, addressing their needs and inquiries.
  • Ensure all visitors are logged and tracked for security and safety purposes.

What experience you'll bring:

  • Experience with scheduling software (e.g., Microsoft Outlook, Meeting room booking tools).
  • Friendly, approachable, and confident with interacting with people at all levels.
  • Strong attention to detail and ability to prioritise tasks efficiently.
  • Proactive, reliable, and able to work independently as well as part of a team.
  • Ability to handle confidential information with discretion.

Work Environment:

  • This is an in-office position, with regular working hours from [Monday – Friday on a rotational shift pattern 08:00 – 16:30 & 09:00 – 17:30.
  • Occasional overtime may be required during peak times or special events or as the business requires from time to time.
